What's Changing with Workday: Absence Management

Many campus processes will move into Workday, and others will look a little different depending on your role on campus. We're here to walk you through each one. Next up: Absence Management.

What's Changing

  • In Workday, time off and extended leaves are grouped together under the umbrella term of Absence.
  • Employees submit time off requests directly in Workday, via the web or the mobile app.
  • Leave balances — including vacation, sick, and personal — are available in real time; Workday automatically manages accruals and carryovers and employees can use Workday to model future time off.
  • Managers have a team calendar view to identify overlapping absences and maintain coverage.
  • Managers can review and approve absence requests quickly and easily, and automated reminders help reduce missed requests.
  • Protected and extended leaves (like FMLA) are documented and tracked directly in Workday — providing one secure, centralized place to manage leave.

How to Prepare for These Changes

  • Review Important Dates and Deadlines
  • Enter your 2025 Time Off requests in Workday
    • Non-Exempt/Biweekly staff who plan to take any time off December 19 – 23 will need to submit time off requests in Workday beginning December 15; Managers will need to approve these requests in Workday.
    • Non-Exempt/Biweekly staff who are scheduled to work any time December 24 – January 4 will need to submit time off requests in Workday beginning December 15; Managers will need to approve these requests in Workday.
    • All other employees: It is not necessary to submit time off requests for the December 24 – January 5 College holidays. Exempt/salaried staff will account for any 2025 time off in their 2025 Attendance Record.
  • Leave Balances (2025 Carryover)
    • Exempt/Salaried staff: 2025 leave balances will not be visible in Workday until later in January, after 2025 Attendance Records, due January 9, are processed.
    • Non-Exempt/Biweekly staff: when Workday opens for Time Entry on December 15, your leave balances will not be visible. They will be added to Workday by December 23.
